A smooth industrial property handover starts before the tenant arrives. A structured review helps uncover maintenance issues, confirm safe access, and clarify how building systems operate. It also gives both sides a shared record of the property’s condition and outstanding tasks. Whether the space is a warehouse, workshop, or distribution facility, work through inspections, repairs, access arrangements, and operating details early enough to resolve problems before possession day.
Inspect the Space and Systems
Walk the property with a documented checklist, including the tenant’s unit, shared areas, loading zones, parking, and exterior grounds. Note visible damage, water intrusion, trip hazards, damaged doors, and anything that could interfere with the tenant’s intended use. Take dated photos and record the location of each issue so the tenant and property team can refer to the same findings.
Check building systems that support daily operations, such as lighting, HVAC, plumbing, electrical service, fire protection, and security equipment. Confirm which systems serve the tenant’s space and identify any limits on capacity or operating hours. Arrange qualified inspections where required, and collect available service records, permits, and equipment manuals for the handover file.
Complete and Verify Repairs
Sort inspection findings by urgency and responsibility. Address safety concerns and failures that could prevent normal use first, then schedule cosmetic or noncritical work. Confirm lease obligations before assigning costs or promising a repair, and put agreed work, responsible parties, and target completion dates in writing.
Do not treat a contractor’s completion notice as the final check. Verify the repair in person, test the affected equipment where appropriate, and keep invoices, warranties, and service notes. If work will continue after possession, explain what remains, how the area will be protected, and how contractors will coordinate with the tenant.
Set Up Safe, Reliable Access
Confirm how the tenant, employees, vendors, and delivery drivers will enter the property. Review keys, access cards, gate codes, visitor procedures, loading dock controls, and any restrictions for evenings or weekends. Remove or deactivate credentials from prior occupants, and test the tenant’s credentials before move-in rather than assuming they work.
Walk through emergency routes, exits, assembly points, and access for emergency responders. Explain site-specific rules for vehicle circulation, pedestrian paths, parking, and shared loading areas. Provide the right contact for reporting a lost credential or access failure, along with instructions for after-hours issues.
Clarify Day-to-Day Operations
Give the tenant a concise operating guide covering utility accounts and shutoffs, waste and recycling procedures, maintenance requests, building service hours, and rules for shared spaces. Identify who handles routine tasks and how to report urgent problems. If the property has systems the tenant must operate, schedule a walkthrough and explain basic controls without assuming the tenant already knows the equipment.
Before handing over possession, review the condition report, outstanding work, contact list, operating instructions, and any required safety documents with the tenant. Record the date and condition of keys, access devices, and included equipment. Sound Industrial can help coordinate these handover details so the tenant and property team begin with clear expectations.
A thorough handover reduces avoidable delays and gives a new tenant a clearer start. Inspect the space, verify repairs, test access, and document operating procedures before possession day. Keep a copy of the completed checklist and supporting records, and contact your property manager to coordinate any remaining steps.
